As a UM employee/student, you have a UM Single-Sign on (CaneID) to access UM/Rosenstiel School Email, VPN, SecureCanes Wireless, UM Cloud Storage, Rosenstiel School FTP and Personal Web pages, CCS, Workday, UMOffice365 and other UM computer/network services. Most of this will go away when you leave UM/Rosenstiel School. For official policy information, see the UM procedures document. If you wish suggestions on retaining account materials prior to account termination, see the account info retention page

Students

The current UM procedure is to leave Alumni email accounts and CaneID login in place upon graduation. This requires Alumni status. No other account services are retained. If you have a need to retain any of the other services after you graduate, an Rosenstiel School faculty/admin associate would have to request they be granted. See the Guest Access page.

Rosenstiel School/UM email addresses of alumni and any email that alumni have stored on the UM server are left in service as long as the alum actively uses the account (logs in once a year). See the Email-For-Life program for information.

If you withdraw without graduating, your status is the same as departing Staff below.

Faculty

Retired faculty retain their accounts for life. Faculty who leave prior to retirement may keep their accounts for one year past their departure date, then the accounts will be terminated as for Staff below.

Staff

Staff includes all research and administrative employees of the University, including post-doctoral fellows and research associates. Accounts are terminated on your departure date. After that, there is no access to your email, cloud storage, or UM Office365 account. If you have a need to retain any of these services past expiration, contact rcf-suport@rsmas.miami.edu before you depart.

Departing staff who need account retention for UM matters.

Alumni accounts do not expire, but for non-alum research persons, if an expired account needs to be retained for them to continue working on the UM research and publications, then the supervisor/principle-investigator for the departed person should submit an EDR form, https://www.it.miami.edu/wda/it/Electronic Data Request Form.pdf. See an example form here.

This should be done in a timely manner before the accounts go inactive; certainly within a month of account termination. Contact rcf-support@rsmas.miami.edu [Ext. 54028] for assistance.
